Privacy Statement


Protecting your personal data is very important for us.

The text below explains the way and methods of processing the personal data collected, so as to ensure the protection of these data, as well as the rights you can exercise in relation to these data.

Data processing
Your personal data are collected and further processed only to the extent necessary to obtain the handling of your request.

Purposes of processing your personal data
The Trade Service processes personal data in the course of performing its duties and responsibilities which include:

    · Examining of applications submitted by legal entities active in the promotion and marketing of agricultural and industrial products under grant schemes.

    · Examining of applications submitted by legal and/or natural persons operating in the services sectors under the grant schemes.

    · Providing information, individualised answers, advice and support to businesses wishing to come into contact with potential foreign buyers (e.g. through the Trade Centres that operate abroad).

    · Issuing export licences for arms and military equipment.

    · The management of the premises of the Cyprus State Fairs Authority (CSFA), in order to examine requests for renting out spaces for specialized exhibitions and events at the CSFA

Storage of personal data
For the purpose of carrying out the above operations, personal computers are used which are accessible only to the staff of the Trade Service, who have a unique user ID and password.

The personal data are stored in print, in the official files of Trade Service and/or in electronic form on the personal computers referred to above.

How do we protect your personal data?
Electronic access to your data is limited to specific Trade Service officers who have a unique user ID and password. The system server is locked in a secure area, with firewall to protect saved records and email correspondence via government mail. Access to the server room have only authorised Ministry of Energy, Commerce, Industry and Tourism officers.

With regard to the official files where personal data are stored, access to them shall be limited to the staff of the Trade Service required to have access to perform their duties as well as to the Administrative staff and the Accounting Office of the Ministry of Energy, Commerce, Industry and Tourism personnel.

To whom do we disclose your personal data?
Please note that if your request is concerning finding trade partners abroad, your personal data may be communicated to foreign traders, if this is necessary, for investigating your request.

Also in the event that your request concerns an application for a subsidy under the services sector grant scheme, your personal data may also be communicated to other Services within the Ministry of Energy, Commerce, Industry and Tourism as part of the examination of the application process.

For how long do we store your personal data?
The deletion of personal data kept in the computer system and the Trade Service official records shall take place 7 years after completion of the handling of the case.

No data are deleted in case there are any pending hierarchical appeals or legal or administrative proceedings relating to/or in connection to the case.

The period referred to above may be extended if the need arises.

Right to request access and rectification of personal data

You have the legal right to request from the Trade Service access to and rectification or deletion of your personal data. You also have the right to ask for restrictive processing of your data or to object to processing, as well as the right to data portability.

Right to withdraw your consent

In cases where the processing of your personal data are based on your consent, you have the right to withdraw your consent at any time. Please note that this right does not apply in cases where the processing of your personal data are necessary for the performance of a task carried out in the exercise of official authority by the Trade Service.

Right to lodge a complaint
You have the right to lodge a formal complaint with the Commissioner for Personal Data Protection in relation to the enforcement of legislation on the protection of natural persons with regard to the processing of personal data.
